Purchases of IT equipment and repairs

Professional purchases

Each IT order (software or hardware, including scientific setups), whatever the UNIL source of funding must be approved by the FBM IT Service (Si) before being completed. If you want to buy a new IT equipment (hardware or software) , please send us your request by mail to supportfbm@unil.ch, specifying your needs (model, configuration, use, etc.) or contact the local IT manager of your department. We handle the entire buying process, from the order to the delivery of the IT equipment installed as FBM standard at your workplace.

Use of private computer

When the unit for which you work is unable to provide you with the equipment you need to carry out your activities at UNIL, you can request that a private machine be added to the UNIL inventory. This service, administered by the FBM IT Service, is subject to conditions and internal rules defined by the IT Purchase Center.

Loan of a screen for teleworking

According to the internal directive 1.40 on flexible and mobile forms of working at UNIL, a screen can be provided to employees which are teleworking. Information and equipment loans are managed by the IT Centre's Central Purchasing Office.

Private purchases

The University offers its community the possibility to receive discounts when purchasing private equipment (laptops) as well as software: List of discounts for private IT purchases (fr)

The Neptun program offers twice a year enables a reduction of 16 to 18% on every purchase. Whereas the Poseidondiscounts are available the entire year and offer a 12 to 13% discount (Poseidon discounts are not available when the Neptun discounts are open). Please note taht these offers are not valid for institutional/lab computers. Private purchases are not supported by the FBM IT Support, nevertheless we will gladly help you choose a product.

Repairs

In case of hardware problem (UNIL computers only) or if a hardware change is necessary, the FBM IT Support will pick up your computer and send it for repair to the partner technicians (Darest and ART Computer). Please note that repair time may be extended due to administrative procedures (form and quotation), the nature of the problem or the availability of technicians.

FBM applications

Description

The FBM IT Service provides web applications to the FBM community, which can facilitate the daily work. Those services are available only on request and after authentication.

FBM booking calendar

The booking calendar allows users to book rooms and shared resources (setups, animal facilities, etc.) available in their department. If you want to add, delete or change any resource or equipment in the booking calendar, please send your request to supportfbm@unil.ch.

Laptops and accessories loan

The loan catalogue allows users to consult the IT resources (computer, wireless presenter, adapter, charger, etc.) available in their department and to apply for a loan to the FBM IT Service.

FBM Setups

The FBM setup management application is a catalogue of scientific instruments available in the FBM departments and that is managed by instrument owners.

LimeSurvey

On request, the FBM IT Service provides the LimeSurvey application that allows users to create online surveys. On justified request and linked to a research project, this service may exceptionally be open to students for a limited period of time. If you want to open a new LimeSurvey account, please complete the following online request survey.

IAFBM

IAFBM is the administrative intranet of the FBM. The access and the use of this application is limited to FBM young academics which is in charge of the dossiers of the people who are part of the teaching staff or want to start an academic career at the FBM.

Arrivals

The Arrivals application is used by the secretariats to inform the local IT managers about the arrivals and departures of collaborator in the FBM departments. The access and the use of this application is limited to the people responsible for the HR in the departments.

The FBM IT Service organizes several IT Workshops to highlight tools or services available at UNIL and that can be used by the FBM community in the daily work.

2019 Programm

DCSR - Computing, research data storage and migration

The Scientific Computing and Research Support Unit (DCSR) of the UNIL IT Center (Ci) presents the new storage and computing infrastructure for research available at UNIL and explains how to use it. The presentation includes the research data migration process from the current NAS to the NAS dedicated to the research and mentions the archiving process for past research projects.

Backup and cloud storage

Every professional data must be saved on the space storage or server NAS. This infrastructure ensure the sustainability and the security of your data. Data stored on your local drive is not backed up.

Backup

Comet Backup is an application provided by UNIL's IT Center with which it is possible to back up users' computer session. This software allows users to choose the documents to back up and to restore files in case of problems, without the help of a local IT manager. This service is available for every UNIL employee with a UNIL contract (PAT and academic). To install Comet Backup on your computer, please contact the FBM IT Support.

Cloud storage

Thanks to UNIL's Office 365 subscription, each employee has 100 Gb of storage space on OneDrive. Encrypted with the UNIL IT Centre's own encryption keys, the data is hosted in the Microsoft Cloud in Switzerland. In addition, the Office Online suite allows Word, Excel and PowerPoint files hosted on OneDrive to be edited online and shared with people inside and outside UNIL.

Please note that it is forbidden to use OneDrive to store research data.

IT access

At UNIL, two distinct types of access are used:

edu-ID account: which is the permanent identity for the academic community in Switzerland
UNIL account: which is a temporary access, for the duration of a person's collaboration or study period with the institution.

These two accesses are independent of each other (different user name and password), but complementary, required and above all linked. For more information on this subject, please consult the documentation of the UNIL Central IT Services (Ci).

UNIL account

UNIL employee

Every employee (academic or PAT) with a UNIL contract has his own UNIL account. This account is automatically created by UNIL's IT Center (Ci) ten days before the beginning of the contract. Your UNIL account allows you to access different UNIL or FBM resources (servers, WIFI, @unil.ch mailbox, etc.).

CHUV employee

CHUV collaborators affiliated to the FBM through scientific activities at UNIL can request the creation of a UNIL account with our without a personal @unil.ch email box. This access is necessary to access certain services such as the NAS server or the PyRAT application.

External

External collaborators who are neither employed by UNIL nor by the CHUV may request the creation of a UNIL account with or without an @unil.ch email box for the duration of a collaboration on a project or activity of the BMF. The FBM IT Service is in charge of analysing the requests and reserves the right to refuse them if they are not justified.

Login details at UNIL and access management

Some IT resources are limited to certain unities or user groups. If you need to access a specific website or application, please contact the IT Support of the FBM to make change your permission. In your request, please specify which access you need, your UNIL username, when your contract will end (if known) and the unit or the research group you belong to.

Software catalogue

Software distributed by UNIL's IT Center (Ci) is available for every UNIL employee (with a UNIL contract). Delivered in its latest version defined as stable by the Ci, the software can be installed on all computers inventoried at UNIL.

Installation

Basic software and utilities are installed by default on every FBM equipment. For the installation of additional software, please contact the FBM IT support.

Free software

Free software is software distributed under terms that allow users to run the software for any purpose, and sometimes without a financial contribution. Most of the free software the most commonly used are installed by default on every FBM equipment.

Micropolis

Micropolis is a computer room that offers the FBM's teachers an interactive teaching platform.

This room is located in the school of Arzillier at Epalinges and offers the following services:

Standard UNIL office softwares (Word, Excel, Powerpoint),
21 computers with 21 Microscopes Leica DCF295,
Class Management Software (NetOP),
Easy access to the UNIL resources (MyUNIL, DocUNIL, MailUNIL).

The FBM IT Service is in charge of the technical maintenance of this room.

PyRAT

PyRAT is the management software of the animal facilities used by the CHUV, EPFL and UNIL (RESAL - réseau des animaleries lémaniques).

Infrastructure and IT equipment

Since 2012, the FBM IT Service manages the infrastructure and the computers of the PyRAT project. If there is a problem with the IT equipment of the 'animaleries' situated in the Bugnon-Epalinges area, please contact the IT Support of the FBM.

Access to the application

Storage and Computing servers

The IT Center of UNIL (Ci) provides different storage and scientific computing infrastructure. These servers are backed up daily so this is possible to restore the previous version of the data you could have deleted by mistake. Depending on the nature of your data (administrative or research data), you have different storage options.

Access

Access to the storage infrastructure requires a UNIL account. To connect, please refer to the documentation below

The access authorizations are given:

By the FBM IT Service : administrative data
By your group leader: research data

Administrative data management -- nas.unil.ch

Administrative data (or “non research data) must be stored on the central NAS server (nas.unil.ch\FBM). This storage system is organized according to a standardized tree structure in each folder of the departments participating in the FBM IT management plan:

Folders	Explanation
\FBM	This is the root folder which contains all department folders.
\DEPARTMENT	All department folders can be accessed only by the users of the department. The folder is named after its official abbreviation. For example : DPT, EM, DEC, etc.
Shared folders (groups)
\GROUPS	This folder contains group folder named according to the unit's competence field (ex: ADMINISTRATION; TEACHING, RESEARCH, etc.). The folder allows the members of a unit to work together on files and can be accessed by all users of the given department.
\ADMINISTRATION	This folder contains all administrative directories of the department (ex: SECRETARIAT, DIRECTION, etc.).
\PI_ADMINISTRATION	This folder contains one folder per research group of the department for the storage of administrative data.
\group_username	The name of this folder is made up of the prefix “group” and the PI's username (Principal Investigator). It is a directory where members of the research group can collaborate and organize the laboratory's administrative data (e.g. laboratory protocols, lab meeting presentations, theses, posters, etc.).
\PI	In the “group_username” folder, on request, a directory named “PI” can be created and restricted to the PI for storing sensitive administrative data (e.g. HR data, fund management, etc.).
\TEACHING	This folder contains the teaching data of the department's teachers.

^ Individual folders (users) || | \USERS | This folder contains one folder per user of the department for the storage of administrative data. | | \username | This folder named after the collaborator's username is the directory that allows the user to store his administrative work data during the duration of his contract at the FBM¹⁾. | | \PRIVATE | Only the user can access this folder without exception. This folder is not intended to store research data but only the user's administrative files (salary records, CVs, thesis, etc.). | | \PUBLIC | The entire department has access to this file in read and write access. This file is intended for the exchange of information between employees of a department. |

Research data management -- nasdcsr.unil.ch

The data generated as part of the research project must be stored on the DCSR NAS server (\nasdcsr.unil.ch\RECHERCHE\²⁾). To open a new project directory on this infrastructure, the Principal Investigator (PI) must make a request accompanied by a DMP by using the form provided for this purpose. Unlike the central NAS server (see above), research data is organized by projects in the department folders and there is no user individual folder:

\FAC or \PLTF	This folder contains one folder for each faculty or plateform.
\FBM	This folder contains one folder for each department.
\DEPARTMENT	Department folders are named after the official abbreviation of the department. For example : DPT, EM, DEC, etc.
\usernamePI	The department folders contain one folder per PI named after the PI's username.
\default	On the PI's request, a “default” project directory is open in the PI folder by the IT Center of UNIL. This folder contains the research project drafts of the PI that have not yet been identified as full project.
\D1C	This folder contains data from non-finalised projects that do not require a second copy (D1C = data 1 copy) because they are already saved on another system outside UNIL (e.g. data received from another university, etc.). If the data are lost on the UNIL server, users must be able to recover them from a storage system outside the UNIL infrastructure.
\D2C	This folder contains data from non-finalised projects that must be duplicated (D2C = data 2 copies) for security reasons. Research data produced at UNIL must be saved in this folder.
\projet1	On the PI's request, the project folders are open in the PI folder by the IT Center of UNIL according to the name choosen by the PI. The access to this folder is restricted to the project team defined by the PI.
\D1C	This folder contains data from project1 that do not require a second copy (D1C = data 1 copy) because they are already saved on another system outside UNIL (e.g. data received from another university, etc.). If the data are lost on the UNIL server, users must be able to recover them from a storage system outside the UNIL infrastructure
\D2C	This folder contains data from project1 that must be duplicated (D2C = data 2 copies) for security reasons. Research data produced at UNIL must be saved in this folder.

Like the DCSR NAS server, access the scientific computing infrastructure (high performance computing) requires a prior request from the IP.

The use of research infrastructure (research data storage and computing) is managed by the UNIL IT Center and is charged to the research groups³⁾.

IT Support

Mission

The IT support's mission consists of the resolution of all kinds of IT problems regarding the computers indexed in the UNIL's inventory and whose department has signed the Membership and support agreement to the FBM IT Platform. The service is available to all members of the teaching staff, intermediary staff, assistants and to the administrative and technical staff of these departments. For people of another FBM department, please address your requests directly to the IT manager of your department.

You can contact the IT support of your department or contact the central FBM IT support if your IT manager is not available, from Monday to Friday between 8:30 - 11:45am and 1:30 - 4:30pm.

To ensure a continued assistance, the IT Management Plan of the FBM provides replacement system in the partners departments in case of absence of the IT manager of your department. In case of exceptional absence of the FBM IT Service (Si), please contact the Helpdesk of UNIL (helpdesk@unil.ch or +41 (0)21 692 22 11) which will create an intervention for the FBM support.

Response time

According to the IT Management Plan of the FBM, the response times are:

for a software installation or a problem resolution: 1-2 days;
for the computer installation or reconfiguration: 2-3 days;
équipment failure or hardware change: depends on the nature of the problem and the availability of partner technicians (Darest and ART Computer).

Supported equipment

According to the conditions laid down in the FBM IT Charter²⁾, only FBM equipment is fully supported by the FBM IT Service. In case of repair, loan computers can be provided to the users.

Limited support is provided on UNIL equipment for issues related to the use of FBM/UNIL resources or software installed. However, responding time or resolution of the problem cannot be guaranteed. No support is provided for software used or imported privately on this type of machine.

The IT Service does not perform any support or other assistance on external equipment.

Remote control

In case it is not possible to physically access your computer (working abroad or from home for example), the FBM IT Support will ask you to start a Real VNC session to access your computer remotely. For more information, please refer to our documentation.
